We are seeking a practical and detail-oriented Group Operations Assistant to support the operations team and the Head of Operations & Finance, while also overseeing Work Health & Safety (WHS) processes across all venues. This role suits a process-driven hospitality professional who is comfortable working across administration, finance, venue operations, and compliance.
The Group Operations Assistant plays a key role in supporting day-to-day operations, completing financial and operational reporting, identifying opportunities for improvement, and ensuring venue systems, processes, and WHS requirements are consistently met. -
General Administration
Assist our Head of Operations & Finance to prepare documents, presentations, reports, and other materials for meetings, presentations, or submissions.
Organise and maintain files, records, and databases.
Ensure that important documents and information are easily accessible, confidentiality is maintained and documents properly archived.
Follow up on tasks, projects, or inquiries to ensure that deadlines are met and commitments are fulfilled.
Interpretation of nightly reports, anticipating and resolving issues.
Financial AdministrationEnsure that all financial administration is completed ahead of schedule (Weekly, Monthly & Quarterly).
Oversee the invoice register and accounts inbox for each venue, ensuring that our financial control procedures are being adhered to.
Audit Company Uber Travel, Company Petty Cash and Invoices on a Weekly basis
Audit Venue cash procedures and conduct cash reconciliation and banking on a fortnightly basis.
Create EON templates and assist with financial forecasting and budgeting.
Complete weekly discounts summary and promotions emails for the Marketing team
Operations and Venue Support:
Communicate insights of each venue to senior management.
Review nightly reports and action outstanding items based on your remit
Integrate yourself within our after hours on-call operations roster 2 nights per week and remedy any emergency issues in a timely manner.
Work Health & Safety:Support consistent implementation of WHS systems and procedures across all venues.
Maintain and update WHS standard operating procedures.
Conduct internal site inspections and ensure hazards are identified, recorded, and addressed.
Lead risk assessments and ensure WHS documentation remains current and compliant.
Manage incident, hazard, and near-miss reporting, including investigations and corrective actions.
Lodge and manage workers’ compensation claims with HII and notify SafeWork NSW where required.
Coordinate WHS training, including annual CPR and emergency response training.
Maintain and update emergency procedures and support venue managers with WHS inductions and ongoing compliance.
